Position Summary:
Good City Company is seeking a highly organized and proactive Administrative Assistant to support our team in a variety of day-to-day administrative functions. In this role, you’ll support the leadership team, help keep our office running smoothly, coordinate schedules and meetings, manage software accounts, assist with updates to marketing materials, and provide onboarding support for new employees. This position requires someone who thrives in a collaborative environment, enjoys solving problems, and can balance multiple tasks effectively.
This is a hybrid position based out of our Downtown Redwood City office, with at least 3 days per week in the office .
Key Responsibilities:
- Executive Support: General support of the company's Principals and leadership team
- Calendar & Meeting Coordination: Manage company calendars, schedule internal and external meetings, and support logistics for team events.
- Office Support: Ensure office supplies and equipment are stocked and in working order; coordinate with property management on building needs.
- Onboarding & Offboarding: Support new employee onboarding (equipment orders, system access, orientation scheduling) and assist with offboarding processes.
- Marketing & Proposals: Coordinate updates to marketing materials and support the preparation of proposals and responses to RFPs.
- Software Administration: Assist with the management of company software accounts (Microsoft 365, Google Workspace, Zoom, Harvest).
- Document & Records Management: Assist in maintaining company files, updating the employee handbook, and other internal documentation.
- Compliance Support: Track and maintain up-to-date business licenses and insurance documentation as directed.
Qualifications:
- Previous administrative support experience (3+ years preferred).
- Proficiency with Microsoft Office Suite and Google Workspace ; familiarity with Zoom and other office productivity tools.
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Professional, detail-oriented, and comfortable working both independently and as part of a team.
