Position Summary:
We are seeking a detail-oriented and proactive professional to serve as the primary liaison between our manufacturer sales representatives and Fire-Dex. This role will be responsible for managing and streamlining communications, maintaining accurate data in Salesforce, and overseeing a variety of administrative functions, including contract management. The ideal candidate will possess strong organizational skills, a collaborative mindset, and the ability to navigate cross-functional priorities.

Key Responsibilities:

Salesforce & Communication Support

  • Serve as the central point of contact between manufacturer sales representatives and Fire-Dex.
  • Maintain accurate, up-to-date records of communications, opportunities, and sales activities in Salesforce.
  • Monitor and track sales pipeline progress, ensuring all relevant data is properly documented.
  • Generate and distribute Salesforce reports and dashboards to relevant stakeholders.

Bids & Contract Management

  • Conduct detailed review of bids to analyze compliance with technical specifications and to validate alignment with project requirements.
  • Coordinate with internal teams to ensure compliance with contractual terms.
  • Prepare supporting documentation for contract proposals.
  • Track contracts, amendments, and renewals to ensure compliance.
  • Maintain organized contract files and records for quick retrieval and reporting purposes.

Administrative Support

  • Support project coordination efforts across teams.
  • Maintain internal databases, contact lists, and shared resources.
  • Provide general administrative support as needed to ensure smooth daily operations.

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or related field (or equivalent experience) preferred.
  • 2+ years of experience in a liaison, administrative, or coordinator role—preferably in a manufacturing or sales environment.
  • Proficiency in Salesforce CRM preferred.
  • Strong organizational skills with excellent attention to detail.
  • Effective written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Ability to understand and interpret technical data and specifications
  • Possess a strong sense of urgency, follow-through, and diligence, including meeting deadlines and can remain organized with and keep track of multiple sources of information and data
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Preferred Skills:

  • Experience with Salesforce.
  • Familiarity with manufacturer–sales representative relationship dynamics.
  • Knowledge of supply chain or manufacturing processes.
