Position Summary:
We are seeking a detail-oriented and proactive professional to serve as the primary liaison between our manufacturer sales representatives and Fire-Dex. This role will be responsible for managing and streamlining communications, maintaining accurate data in Salesforce, and overseeing a variety of administrative functions, including contract management. The ideal candidate will possess strong organizational skills, a collaborative mindset, and the ability to navigate cross-functional priorities.
Key Responsibilities:
Salesforce & Communication Support
- Serve as the central point of contact between manufacturer sales representatives and Fire-Dex.
- Maintain accurate, up-to-date records of communications, opportunities, and sales activities in Salesforce.
- Monitor and track sales pipeline progress, ensuring all relevant data is properly documented.
- Generate and distribute Salesforce reports and dashboards to relevant stakeholders.
Bids & Contract Management
- Conduct detailed review of bids to analyze compliance with technical specifications and to validate alignment with project requirements.
- Coordinate with internal teams to ensure compliance with contractual terms.
- Prepare supporting documentation for contract proposals.
- Track contracts, amendments, and renewals to ensure compliance.
- Maintain organized contract files and records for quick retrieval and reporting purposes.
Administrative Support
- Support project coordination efforts across teams.
- Maintain internal databases, contact lists, and shared resources.
- Provide general administrative support as needed to ensure smooth daily operations.
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or related field (or equivalent experience) preferred.
- 2+ years of experience in a liaison, administrative, or coordinator role—preferably in a manufacturing or sales environment.
- Proficiency in Salesforce CRM preferred.
- Strong organizational skills with excellent attention to detail.
- Effective written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Ability to understand and interpret technical data and specifications
- Possess a strong sense of urgency, follow-through, and diligence, including meeting deadlines and can remain organized with and keep track of multiple sources of information and data
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Preferred Skills:
- Experience with Salesforce.
- Familiarity with manufacturer–sales representative relationship dynamics.
- Knowledge of supply chain or manufacturing processes.
