Position Summary The Administrative Assistant will primarily support the Chief of Operations and Transformation by providing administrative coordination, answering the telephone, and general office support for the entire organization. Reporting to the Administrative Services Supervisor, this role requires someone who's comfortable working independently and alongside executive leadership. While this position can be based remotely anywhere in the United States, you will need to primarily work 8:30 AM to 5:00 PM Eastern time zone hours to best support the Chief of Operations and Transformation. Key Responsibilities Provide direct administrative support for the Chief of Operations and Transformation such as calendar management, coordinating appointments, setting meeting agendas, managing meeting logistics (onsite, hybrid, and remote), attending meetings alongside the Chief of Operations and Transformation, ensuring the functionality of meeting technology tools, and conducting necessary meeting follow-up. As needed, will also provide support to the Chief People Officer, Chief Financial Officer and Chief Diversity Officer. Assume administrative responsibility in the Chief of Operations and Transformation’s absence by ensuring timely approvals of timesheets, travel, invoice/expense report approvals, and other requests for action or information, and then monitor the resulting activity for purposes of briefing the Chief of Operations and Transformation Keep abreast of short- and long-term commitments of the Chief of Operations and Transformation, identify potential needs and concerns, create efficiencies in workflow, prioritize correspondence and actions items, and ensure follow-through Read, draft, and edit documents and presentations for internal and external audiences Manage specialized meeting logistics, which may include travel coordination, onsite catering, meeting set-up, and meeting take-down Collaborate in a proactive, friendly, and approachable manner with the Chief of Operations and Transformation and across the organization to ensure positive relationships and timely work execution Serve as a resource on special initiatives to the Chief of Operations and Transformation’s departments by completing background research, organizing project meetings to ensure clear agendas and action items, and filling in for capacity gaps Coordinate with administrative staff across the organization for scheduling and meeting management Other duties as assigned. Required Qualifications 3-5 years of executive assistance or project coordination experience in a dynamic remote work environment with multiple stakeholders and projects Bachelor’s degree or an additional four years of equivalent, professional experience Superb, forward-thinking project management skills using new technologies and tools such as Asana & CRM Comfortable managing remote and hybrid meeting environments via Zoom & Teams Strategic thinker with a passion and interest in advancing equity High level of proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) Strong attention to detail, accuracy, and project deadlines and deliverables Ability to navigate changing priorities and pivot with ease Strong interpersonal and relationship-building skills with persons of all backgrounds, cultures, and affiliations Lived or professional experience with mental health or substance use treatment preferred National Council is an Equal Opportunity/Affirmative Action Employer.
