We are looking for a strong Operations Manager to run day‑to‑day operations for Smart Glass Technologies. You will coordinate sales, orders, logistics, and service for smart glass and smart film projects, working closely with our US team and clients. This role is remote, focused on the USA market, with the candidate based in Moldova.
You will own the full process from signed deal to delivery, installation, and after‑sales service. The ideal person is structured, proactive, and always looking to improve and automate operational processes using tools like Odoo, QuickBooks, and other SaaS systems. This is a hands-on, execution-focused role with clear growth potential toward senior operations leadership as we scale.
Key responsibilities
- Own the full order lifecycle: from signed deal to delivery, installation, and after‑sales service for smart glass/smart film projects.
- Coordinate daily with sales, logistics, accounting, and installation teams to ensure on‑time and error‑free execution.
- Create and manage quotes, sales orders, purchase orders, and invoices using Odoo, QuickBooks, or similar tools.
- Plan and track logistics: shipments, deliveries, and installation schedules for US and Canadian projects.
- Monitor project status in systems, update records, and proactively solve operational issues, escalations, and delays.
- Communicate with clients on operational topics: timelines, changes, documentation, and service requests.
- Track key KPIs (lead time, delivery accuracy, errors, service tickets) and prepare weekly operational reports.
- Continuously improve and automate processes: templates, checklists, SOPs, and system workflows.
- Collaborate with management on capacity planning, forecasting, and resource allocation.
- Work closely with installation partners and vendors to coordinate materials, schedules, and site requirements.
Skills & Qualifications
- 3+ years in operations, project coordination, order management, or similar roles.
- Experience with US market operations (US clients, logistics, or projects) is required.
- Background in construction, glazing, interiors, or technical B2B products is a strong plus.
- Hands-on experience with Odoo, QuickBooks, or similar ERP/CRM/accounting tools.
- Strong understanding of sales operations, order flow, logistics, and after-sales service.
- High level of English (written and spoken) for daily communication with US team and clients.
- Very organized, detail-oriented, and able to manage many parallel projects.
- Proactive, ownership mindset, and always looking to optimize and automate processes.
- Based in Moldova with stable internet and ability to overlap with US time zones.
