About the role:

As a Provider Operations Manager at Allara, you will play a vital role supporting the end-to-end provider journey of our clinicians, establishing workflows that scale with the practice, and working with cross-functional teams to facilitate the smooth operation of clinical services. The Network Manager dynamically supports a large and growing network of providers on everything from day to day questions and needs, through operational workflow development and process improvement. The ideal candidate is a highly organized and detail-oriented self-starter who is able to thrive in a fast-paced and dynamic startup environment. Ideally they will have experience managing operations for large multi-disciplinary provider networks. This role will report to our Director of Clinical Operations.

Key Responsibilities:

  • Onboarding and Offboarding Providers:
    • Manage and document onboarding for all providers (currently 2 cohorts / month or ~15 providers/month), walking them through the Allara onboarding process seamlessly both synchronously and asynchronously.
    • Create engaging and educational onboarding content to initiate providers onto Allara’s platform systems and care delivery model. Coordinate clinical training with Clinical Leadership.
    • Coordinate initial systems access and support .
    • Manage provider offboarding process, including conducting and summarizing exit surveys
  • Network Operations:
    • Ensure continuous process improvement in the delivery of clinical services at Allara; identify bottlenecks in processes, optimize workflows and constantly strive to enhance provider productivity.
    • Pro-actively propose both short and long term solutions to provider network- related operational issues; lead efforts to implement quarterly projects to address operational challenges.
    • Develop, implement and monitor key metrics to measure effectiveness of network operations processes.
  • Provider Satisfaction and Engagement
    • Own provider support, engagement and communication, including developing and implementing effective strategies for ongoing communication with providers on operational changes and mechanisms to collect feedback and ideas across our growing network.
    • Develop ways to assess and respond to ongoing provider needs to ensure providers are satisfied with their roles
    • Support processes surrounding monthly provider payroll
  • Capacity and Utilization
    • Closely monitor capacity and utilization, own the share-out of capacity and any immediate or future capacity-concerns to wider ops team
    • Identify and support providers with schedule optimization
    • Develop, implement and monitor metrics related to capacity + utilization. Recommend dashboard updates and own capacity-related KPIs.
  • Manage NP Collaboration Program

About you:

  • Bachelor’s degree in healthcare administration, business, or a related field (or equivalent work experience)
  • At least 5 years of experience in healthcare operations or network management roles; startup experience and/or telehealth experience is a plus
  • Proficient in analytical thinking and problem solving; strong knowledge of analytics tools including Excel and visualization tools like Metabase, Looker, Quicksight, etc.
  • Operates with a sense of urgency while retaining a high level of detail orientation
  • Excellent communication and interpersonal skills; you’re skilled at working with multiple teams simultaneously and motivating others
  • Ability to manage multiple priorities and work independently in a fast-paced environment
