Episcopal Day is seeking a Development Associate. This Development Associate is a member of the Advancement Team and is a part of the administrative staff. The position is responsible for effective data collecting and analysis and supports the Development Director and volunteers in fundraising, event planning and relationship building with current families, past parents, grandparents, and alumni, and other friends of the school.
The Development Associate reports to the Director of Development. This is a temporary, non-exempt hourly position.
Role and Responsibilities:
Donor Database:
- Manage data entry and acknowledgment for all gifts and maintain up-to-date files on donors
- Maintain thorough record keeping of donor correspondence for auditors and support the Business Office during the annual audit
- Reconcile donations with Business Office for the purpose of internal control
- Weekly data input of donations, pledges, and pledge payments
- Generation of deposit batch reports for Business Office
- Maintain Donation Master sheet with up-to-date family giving
- Generate donation acknowledgement letters, obtain Head of School signature, mail out signed letters
- Compile data for Annual Report in November/December
- Assist Director of Development with reporting for committee and board meetings
Events:
- Plan and organize a variety of school wide events: Volunteer Fair, Back to School Night, New Family Dinners, 8th grade/Alumni – Pizza, Peers, and Perspectives, Thanksgiving/Christmas Chapel Receptions, Grandfriends Day, Spring Party, Agents of Change, Alumni High School Grad Event, Graduation Reception, etc.
- Create Evite invitations on brand with Episcopal Day to send out to parents-community and manage response headcount and create guest nametags
- Manage vendors, caterers, etc., for all events, as well as food and beverage orders
- Coordinate with Executive Assistant to the Head of School for event setup in Facilities system (FMX)
- Coordinate with the Advancement Team where help is needed on event day (i.e. welcome table, speakers, etc.)
- Graduation invitations including mailing to 8 th grade families, pew assignments, pew setup for event and reception
- Holiday card – assist in image selection (student artwork), work with printer, maintain spreadsheet of recipients (current families), additional recipients and ~80 employee recipients
- Work with Business Office to ensure vendor payments
- Create and update protocols to ensure the needs of the event year after year
Advancement Team:
- Assist in strategic thinking for the magazine along with facilitating articles and editing
- Attend Advancement Team meetings
- Attend Day School Parent Association meetings
- Assist with Admission events when needed
- Editing any drafts of Mustang Memo, Event programs, etc.
- Assist with social media content editing with Communications Manager
- Assist in generating and implementing new strategies for recognizing donors and volunteers
- Conduct and report on prospect research while maintaining the highest level of confidentiality
- Schedule solicitation meetings
- Support efforts to engage new families in development and friend-raising efforts
- Stay informed about new alternatives for reporting in development-related data
- Assist in the development of marketing and communication strategies and the creation of new approaches to strengthening awareness of Episcopal Day with both prospective and current parents’
- Promote positive relationships between the Development Office, Business Office and all internal and external constituents of the school
- Assist with the everyday needs of the school such as daily student drop off and pick up shifts
- Commit to ongoing professional development and growth to reflect the demands of the position and the strategic priorities of the school
- Attend evening and weekend events as required

Qualifications:
- Associates degree or higher
- Administrative experience with data entry required
- Experience in event planning preferred
- Knowledge of development (fundraising and event planning) and/or advancement work (marketing and communications) preferred
