Ekogreen a leader in nondestructive testing (NDT) and aviation engine services, is looking for a proactive and highly organized Remote Virtual Assistant to provide administrative, scheduling, and operational support. The ideal candidate will assist in managing communications, coordinating schedules, handling data entry, and supporting business operations to ensure efficiency in a fast-paced environment.

Key responsibilities

Administrative & Executive Support: • Manage emails, calendars, and appointments for executives and team members. • Organize and maintain digital files, reports, and internal documents. • Assist in the preparation of presentations, reports, and business correspondence.

Customer & Client Communication: • Respond to emails, inquiries, and client requests in a professional manner. • Coordinate and schedule meetings, calls, and virtual conferences. • Maintain positive relationships with clients, vendors, and stakeholders.

Data Management & Research: • Conduct market research, competitor analysis, and industry updates. • Maintain and update databases, spreadsheets, and CRM tools. • Assist in tracking projects, contracts, and financial records.

Social Media & Marketing Assistance: • Help draft and schedule social media posts, newsletters, and marketing content. • Assist in managing company profiles on LinkedIn, Twitter, and other platforms. • Monitor and respond to social media engagement and inquiries.

General Operations Support: • Handle basic bookkeeping tasks, invoice processing, and expense tracking. • Coordinate with different departments to ensure smooth workflow. • Assist in HR-related tasks, including scheduling interviews and onboarding support.

Skills & Qualifications

Education: Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field (preferred but not required). • Experience: 1-3 years in administrative support, virtual assistance, or executive assistance. • Technical Skills: • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. • Experience with CRM tools (Salesforce, HubSpot), project management software (Trello, Asana), and email automation tools. • Familiarity with social media management platforms (Hootsuite, Buffer, Canva) is a plus. • Soft Skills: • Strong communication, time management, and problem-solving skills. • Ability to work independently and manage multiple tasks remotely. • Attention to detail and ability to maintain confidentiality.
