
Executive & Personal Assistant to CEO
About the job
We are looking for an exceptionally organized, proactive, and reliable Executive & Personal Assistant to support the CEO in both business and personal matters.
This is not a traditional assistant role. The person in this position will make sure everything runs smoothly — both at work and in everyday life. One day may involve organizing a business trip; the next may involve coordinating contractors for a home project or finding the perfect birthday gift.
This role is ideal for someone who genuinely enjoys organizing, planning, researching, solving problems, and making life easier for others. The right person does not wait to be told what to do — they naturally think: “I’ll take care of it,” “I’ve already scheduled it,” “Here are the three best options,” and “It’s done.”
Key responsibilities
- Filter the CEO’s inbox and flag only emails requiring direct attention.
- Draft emails, prepare responses, presentations, reports, and business documents.
- Organize the CEO’s calendar, schedule meetings, prepare agendas, take notes, and send summaries with action items.
- Follow up on outstanding tasks, unresolved cases, project deadlines, partners, and internal teams until completed.
- Manage personal calendar, appointments, errands, and day-to-day personal tasks.
- Book restaurants, hotels, flights, transportation, and complete travel itineraries.
- Arrange car servicing, insurance renewals, registrations, maintenance, and local errands when needed.
- Schedule medical, dental, grooming, and other personal appointments.
- Order groceries, household supplies, gifts, and other essentials.
- Pay bills, coordinate recurring services, deliveries, package returns, and order pickups.
- Find and manage cleaners, contractors, gardeners, handymen, and other service providers.
- Organize home repairs, maintenance, and personal projects from planning through execution.
- Research products, vendors, and services, then present the best options clearly.
Skills & Qualifications
- Excellent organizational skills and outstanding attention to detail.
- Fluent English and Romanian; Russian is an advantage.
- Strong written and verbal communication skills.
- Ability to multitask, prioritize effectively, and manage many moving parts at once.
- High level of discretion, confidentiality, and professionalism.
- Excellent research, problem-solving, and follow-up skills.
- Proactive mindset: able to anticipate needs and solve issues before they become problems.
- Valid driver’s license and willingness to run local errands when needed.
- Comfortable coordinating with external service providers, vendors, partners, and internal teams.
