Accounting & Logistics Assistant (Odoo + QuickBooks)

Smart Glass Technologies is looking for a detail‑oriented Accounting & Logistics Assistant to support our finance and operations team. You will work with Odoo and QuickBooks every day to keep orders, shipments, invoices, and payments accurate and up to date. This role is ideal for someone who has worked in a product, manufacturing, or distribution company and enjoys organizing data, coordinating with vendors and carriers, and making sure nothing falls through the cracks.

You will collaborate with our accounting manager, project managers, and logistics team to ensure that orders move smoothly from quote to shipment to invoice, and that all information in Odoo and QuickBooks is consistent.

• Enter and update sales orders in Odoo and keep delivery and invoice status accurate from quote to completion.
• Create and track purchase orders to suppliers (glass, film, hardware, accessories) and monitor expected delivery dates.
• Coordinate daily shipping tasks: prepare labels and documents, share tracking numbers, and confirm deliveries with carriers and internal teams.
• Issue customer invoices in QuickBooks based on Odoo data and project contracts, and apply customer payments.
• Record vendor bills, match them to purchase orders, and prepare weekly payment lists for review.
• Assist with inventory counts and inventory corrections in Odoo, including warehouse and location transfers.
• Support monthly bank and credit card reconciliations in QuickBooks by providing accurate and timely data.
• Maintain organized digital documentation for orders, shipments, invoices, and payments in the relevant systems.
• Communicate with sales reps, project managers, and installers to clarify order details, delivery status, and invoicing questions.
• Prepare simple recurring reports such as open sales orders, delayed deliveries, and past‑due invoices.
• Working hours: Monday–Friday, 8:00 AM – 5:00 PM USA Eastern Time (EST)

• 2–3 years of experience in an accounting assistant, logistics assistant, or operations support role.
• Hands‑on experience with Odoo (sales, inventory, purchasing, invoicing modules) in a real business environment.
• Practical experience with QuickBooks for AP/AR, posting transactions, and basic reconciliations.
• Understanding of the order‑to‑cash flow (quote, sales order, shipment, invoice, payment) in a product or distribution company.
• Basic knowledge of inventory processes: stock moves, adjustments, cycle counts, and location transfers.
• Confident user of Excel or Google Sheets (sorting, filters, basic formulas, and data exports from systems).
• Strong attention to detail and accuracy in numbers, documents, and data entry.
• Good written and verbal communication skills in English at an Intermediate level or above.
• Ability to work independently in a remote environment, manage priorities, and meet deadlines.
• Experience in construction, manufacturing, glass, or similar industries is a plus but not required.
